Introduction

This Privacy Policy explains how personal data is collected, used, stored and protected in connection with Laguna Aesthetics.

Laguna Aesthetics is a trading name used by JP Lagoon Ltd for the administrative and business-side support of aesthetics services offered from the premises. This Privacy Policy explains how JP Lagoon Ltd handles personal data in that role.

Please read this Privacy Policy carefully. It explains what personal data may be collected, why it is collected, how long it may be kept, who it may be shared with, and the rights you have in relation to your personal data.

Who we are

JP Lagoon Ltd is the data controller for personal data processed through the Laguna Aesthetics brand for the administrative and business-side purposes described in this Privacy Policy, except where this policy explains that an independent practitioner is separately responsible for clinical information.

Important distinction: administrative and clinical responsibility

Laguna Aesthetics is used by JP Lagoon Ltd for the administrative and business-side support of aesthetics services, including:

  • enquiries
  • appointment booking
  • client registration
  • appointment reminders
  • payment administration
  • reception and customer service administration
  • complaint intake and complaint administration
  • marketing where consent has been given

However, where aesthetics consultation or treatment is provided by an independent practitioner operating under the Laguna Aesthetics brand from the premises, that practitioner is responsible for their own clinical assessment, treatment decisions, prescribing where applicable, treatment delivery, aftercare, clinical records and clinical photographs.

Where you proceed to consultation or treatment with the treating independent practitioner, that practitioner is responsible for the clinical information they collect and hold as part of their independent clinical practice. This includes consultation records, treatment records, prescribing records where applicable, and clinical photographs connected with treatment. At the date of this policy, the current independent practitioner is Dr Saraa Shakir Ali Al-Yasiri.

This distinction is important because some personal data is handled by JP Lagoon Ltd for business-side administration, while separate clinical information is controlled by the independent practitioner.

Where a client raises a complaint, Laguna Aesthetics / JP Lagoon Ltd may handle the administrative side of the complaint, including receiving, logging, acknowledging and communicating about the complaint. However, where the complaint relates to clinical consultation, treatment, prescribing, aftercare, clinical records or clinical judgment, responsibility for the clinical handling of that complaint remains with the independent practitioner.

Marketing and image data where consent applies

Where a client separately agrees to marketing use of aesthetics photographs or videos, copies of relevant images or videos may be shared with JP Lagoon Ltd for Laguna Aesthetics marketing purposes. In limited circumstances, copies may also be shared for legitimate business purposes such as complaints handling, insurance matters, legal claims, safeguarding concerns or compliance-related review.

JP Lagoon Ltd does not control the independent practitioner’s underlying clinical record.

Clinical and special category data

Some aesthetics treatments involve more sensitive personal data, including health information.

For aesthetics consultations and treatments carried out by the independent practitioner, the independent practitioner is responsible for the collection and use of special category clinical data in connection with consultation and treatment. This includes health information, treatment records, prescribing information where applicable, and clinical photographs connected with treatment.

JP Lagoon Ltd may still process limited related information for business-side administration where necessary, but the independent practitioner remains responsible for the clinical record itself.

How personal data is collected

Personal data may be collected when you:

  • make an enquiry
  • request a consultation
  • book or change an appointment
  • complete a registration form
  • contact Laguna Aesthetics by phone, email, text, website form, social media or in person
  • make a payment
  • provide feedback, a review, or other information relevant to your appointment or enquiry

Information may be collected through website forms, email and messaging systems, telephone calls, paper records, in-person conversations with staff, and other systems used for client administration.

How personal data is used

JP Lagoon Ltd may use personal data for the following purposes:

To manage enquiries and appointments

Laguna Aesthetics is not currently promoted on the basis of a specific online booking or payment platform. If online booking, online deposit-taking or third-party payment systems are introduced later, this Privacy Policy may be updated to reflect those arrangements.

CCTV

CCTV may operate at the premises for safety, security, crime prevention and incident investigation.

Relevant footage may be accessed where there is a legitimate need to do so and retained only for as long as reasonably necessary in line with the applicable retention approach. The wider JP Lagoon Ltd privacy framework currently states that routine CCTV footage is normally retained for up to 60 days unless required for an incident, investigation, insurance matter, safeguarding concern, legal claim or law-enforcement purpose.

Who personal data may be shared with

Personal data is not sold or rented.

It may be shared where necessary with:

  • service providers and processors
  • professional advisers
  • insurers
  • regulators and authorities
  • relevant parties in connection with complaints, legal claims, safeguarding or compliance matters

Where relevant to booking administration, complaint handling, safeguarding, insurance, legal compliance, marketing administration based on client consent, or appointment administration, limited information may be shared between JP Lagoon Ltd and the independent practitioner operating from the premises, in line with the roles each party is responsible for.

This does not transfer clinical responsibility to JP Lagoon Ltd or make JP Lagoon Ltd the controller of the independent practitioner’s underlying clinical record.

International transfers

Some service providers may process personal data outside the UK or EEA. Where this happens, appropriate steps will be taken to ensure that personal data is protected through suitable safeguards where required.

How long personal data is kept

Personal data is kept only for as long as reasonably necessary for the purposes for which it was collected, including legal, accounting, tax, insurance, regulatory, safeguarding, complaint-handling and record-keeping requirements.

Under the current JP Lagoon Ltd privacy framework, Laguna Aesthetics client registration and administrative records held by JP Lagoon Ltd are currently retained for 7 years. Retention periods may vary depending on the type of information and the reason it was collected.

Clinical records held by the independent practitioner are subject to the independent practitioner’s own retention responsibilities.

Consequences of not providing personal data

If certain information is not provided, Laguna Aesthetics may not be able to:

  • register you as a client
  • manage an enquiry or appointment
  • take payment where required
  • communicate properly about your booking
  • respond appropriately to administrative queries, complaints or aftercare-related communications
  • comply with legal or regulatory requirements

This may mean that services cannot be arranged or managed in the intended way.

Age policy

Laguna Aesthetics accepts bookings and consultations for clients aged 18 and over only.

This reflects the legal and operational requirements applying to aesthetics services in England and helps ensure that appointment handling, consultation processes and treatment planning are managed consistently and appropriately.

Laguna Aesthetics reserves the right to request proof of age where reasonably required.

How personal data is kept secure

Appropriate technical and organisational measures are used to protect personal data against unauthorised or unlawful processing, accidental loss, destruction or damage.

These measures may include:

  • secure software systems and restricted user access
  • passwords, PIN protection and access controls
  • secure storage of paper records
  • restricted access to administrative and payment-related records
  • staff training and confidentiality obligations
  • secure disposal or destruction of records when no longer required

Where a complaint relates to clinical consultation, treatment, prescribing, aftercare, clinical records or clinical judgment, the clinical handling of that complaint remains the responsibility of the independent practitioner.
